Operations Planner/Coordinator

To coordinate delivery of individual jobs for customers, taking guidance from the team Lead, collaborate with stakeholders and trade experts to create the best options for the execution of a job anticipating potential issues. Maintain excellent relationships with both external and internal stakeholders to provide a professional end to end service.

Be an active team member in growing existing and identifying new business through regular contact with current and lapsed customers. Maintain the customer contact database while ensuring high level of customer service and best practice.

Integrate the wider dynamics of the working environment into a unified approach, formulate a comprehensive approach to giving excellent customer service and professionalism. Analyse working practices to streamline activities to becoming more efficient.

Duties/Responsibilities/Accountabilities include:

Sales Processing and Administration

  • Processing and administrating sales is an important aspect of any business operation. Ensuring that all sales are properly recorded, tracked, and fulfilled is crucial in maintaining a successful enterprise. Streamlining this process can lead to increased efficiency and ultimately, higher profits. Therefore, it is imperative to prioritise the accurate and timely processing of the administration.
  • Act as the first point of contact and filter for sales enquiries for existing customers and new enquiries, identifying opportunities to optimise resource and maximise revenue.
  • Coordinate sales enquiries through to invoicing ensuring adherence to agreed customer and company KPIs
  • To maintain Company CRM information ensuring it is kept precise and real time
  • Support in the coordination of tender/bids/RFIs & RFQs

Global

  • Book, plan and monitor international shipments using Freight Management System and Carrier portals – in accordance with the rules and regulations that apply to that area of the world and to the goods consigned
  • Use data systems to prepare and submit the information required by customs authorities as part of the management of the international movement of goods

Planning – UK & International

  • Ensure individual jobs are correctly set up in the TMS in line with company procedures
  • Monitor timings, reschedule if required and keep customers informed of changes
  • Maintain real time proactive communication with all drivers and internal support staff
  • Ensuring completed tasks are closed down and made ready for invoicing at the end of every day

Essential Qualifications:

  • GCSEs at grades C/4 or above (or equivalent) in maths and English
  • Minimum 2 years’ experience in a similar role

Internal Sales Coordinator

Reporting to the Commercial Director, as an Internal Sales Coordinator you will focus predominantly on maintaining existing customer relationships and developing new sales leads and meetings in the UK and European market, through building knowledge and understanding of the market, our products, business operation and CRM system.

Duties/Responsibilities/Accountabilities include:

  • Handling Requests for Quotes and new tenders, and customer service queries in a professional, timely and knowledgeable manner
  • Actively generating leads for both new and existing customers through targeted email campaigns, with the use of company marketing material such as videos, photos, data sheets, testimonials, product information, digital brochures and website links
  • Maintaining customer contacts and relevant insights on the CRM system
  • Identifying high potential customers and opportunities through targeted market research and social media platforms
  • Helping to grow sales and improve lead conversion in the UK and EU market
  • Supporting the wider operational service team during holiday and absence periods as required
  • Compiling of presentations and customer information packs
  • Processing of quotations, following up with customers as appropriate
  • Contributing to the company data reporting system
  • Daily invoicing as requested by the account department

Key Skills & Experience Required

We are looking for a self-assured, confident communicator who is sociable, resilient, and process driven, who has the following:

  • Experience within a similar role for at least 2 years
  • Experience using a CRM system
  • Experience gained within an internal sales development role within logistics (road, air and sea freight / courier)
  • Strong IT skills & Computer illiterate
  • Ability to deliver excellent customer service
  • Strong analytical and numerical skills with the ability to think systematically
  • Microsoft office suite proficient (Word/Excel)

Although not essential, the following would be highly advantageous:

  • Experience using a variety of social media platforms, including LinkedIn
  • Experience in dangerous goods
  • Marketing experience preferable but not required

Security Drivers

To securely load, transport & deliver specialised freight namely Dangerous Goods (UN Hazardous Classes 1-9 including explosives & radioactive material), sensitive & prohibited items to client’s sites in accordance with ADR legislation and the Company’s Security Plan adhering to strict daily schedules.

Duties/Responsibilities/Accountabilities include:

  • Daily DfT vehicle defect checks (via PDAs) and completion of check sheets
  • Daily MHE and equipment checks
  • Familiarisation/preparation/planning of routes to scheduled collection and delivery sites as determined by the Road Transport Operations department’s route plans/movement plans.  For European journeys this will include referring to the FTA European Road Transport Guide to ensure compliancy with country specific driving regulations
  • Application of ADR regulations, Aviation Security Regulations, Section 5 regulations, Security Sensitive assets movement regulations and Customer Specific instructions for example delivery to named person only and necessary escalation if named person not available
  • Adherence to government regulations/legislations (including Working Time Directive and Drivers Hours) with regards to road users
  • Safe and secure vehicle operation (single manned and double manned runs)
  • Loading, unloading and securing of freight on vehicle
  • Palletising and packing of freight
  • Conducting site surveys and reporting back to Road Transport team to assist in movement/project planning
  • Carrying out basic ‘plug & play’ on IT moves
  • Maintaining the security of vehicle and loads at all times in line with the document ‘Duties of a CTS Security Driver’
  • Paperwork collation, POD usage and goods verification on collection and delivery
  • Escalation of any discrepancies in goods/paperwork to Road Transport team for further instructions
  • Escalation of any security breaches/breakdowns/emergencies in line with CTS procedures 
  • Reporting all incidents/accidents/non-conformances to the Road Transport team immediately they occur and on return to base, via the completion of incident report form
  • Maintaining vehicle cleanliness
  • Maintaining a smart, professional appearance by wearing full CTS uniform at all times when representing the Company

Casual Security Drivers

To securely load, transport & deliver specialised freight namely Dangerous Goods (UN Hazardous Classes 1-9 including explosives & radioactive material), sensitive & prohibited items to client’s sites in accordance with ADR legislation and the Company’s Security Plan adhering to strict daily schedules.

As a casual worker, your working hours will vary dependant on the work available and your availability to undertake it.  Assignments may include weekdays, overnight stays, weekends, early starts, late finishes, sometimes at short notice although at other times we will be able to offer work with in advance of 2 weeks’ notice.

The Company is based at Easter Park and Court Farm, Aldermaston. These will be your base although the role will involve travelling to other locations throughout the UK and into Europe in the course of your duties.

Key Skills & Experience Required

  • Careful professional drivers – some commercial driving experience advantageous
  • Clean driving licence (held for at least 12 months, max 6 points and no current DD/DR/TT points /disqualifications)
  • Physically fit, able to load and unload vehicles
  • Basic IT (for simple disconnection and reconnection of IT hardware)
  • Team player – much of our work is double manned
  • Strong customer service ethos
  • Applicants must live within a 30mile radius of CTS premises due to early starts/late finishes and rapid response requirements 

Qualifications

  • Full clean driving licence
